Concurrent Enrollment Planning Form

The high school coordinator is responsible for completing and submitting the annual Concurrent Enrollment Planning Form to the ATCC PSEO Department by April 1 for the upcoming school year.

Alexandria Technical & Community College’s Concurrent Enrollment program staff relies on the strong partnerships with our high school administration, counselors, and faculty. Each high school designates a contact person as the high school coordinator for the partnership who will be responsible for communicating all student enrollment information along with any changes to planned courses or instructors. Here are the annual expectations of the high school coordinator.

Coordinators are responsible for knowing all student policies and for ensuring that all students submitted to ATCC on rosters are meeting both the Concurrent Enrollment eligibility and course pre-requisites.

It is critical that ATCC Concurrent Enrollment staff are notified of any changes to student rosters, course dates, or instructor assignments as soon as they happen to avoid any risk to our ability to run the concurrent enrollment courses.

Recommended Concurrent Enrollment Calendar:
  • Discuss New Courses and Instructors
    • Notify ATCC Director of K-12 Initiatives of any new course requests by March 1st.
    • New high school instructor applications submitted to ATCC Director of K-12 Initiatives by April 1st.
  • Provide concurrent enrollment course pre-requisites and eligibility information in high school registration guides.
  • Student Applications
  • High school completes and submits Concurrent Enrollment Planning Form by April 1st to ATCC PSEO Department.
  • Provide ATCC PSEO Department ACT scores, MCA scores, or administer Accuplacer testing for students not meeting GPA eligibility requirements.
  • Provide ATCC PSEO Department student transcripts by May 1st.
  • Provide ATCC PSEO Department preliminary 1st semester concurrent enrollment course rosters by June 1st.
  • Concurrent Enrollment contract between ATCC and school district sent to superintendents. Must be returned by the start of school year.
  • ATCC PSEO Department registers students for 1st semester concurrent enrollment courses.
  • Class lists sent to high school coordinators prior to the start of school year.
  • Final Applications and Roster Cleanup
    • Collaborate with ATCC to get all students applied and verify program/course eligibility by 5th business day of semester.
    • The last day a student may add a course/switch sections is the 5th business day of the semester.
    • Provide ATCC updated rosters on 5th business day.
    • The last day a student may drop a course is the 10th business day of the semester.
    • Provide ATCC final rosters on 10th business day.
    • Submit Concurrent Enrollment High School Credit Only & Brightspace Access Request form to ATCC as needed.
  • Student Applications

High school counselors are notified of students who did not meet satisfactory academic progress at the end of each semester. Students have the option to complete an academic appeal.

Course evaluations are to be administered by high school instructors prior to the end of each semester as required by NACEP. ATCC provides instructors with the information needed for this. Results are provided to the instructor after course completion.
