PROCEDURES

Purpose

This procedure outlines the process for using course wait lists at Alexandria Technical & Community College and clarifies student responsibilities related to waitlisted courses.

Availability of Course Waitlists

A waitlist is available for most courses once a course reaches its maximum enrollment capacity.

Waitlists are not available for certain courses, including but not limited to:

  • Partnered courses offered through Distance Minnesota (Distance MN), where enrollment capacity is limited by partner institutions.
  • Courses with co-requisites.

Availability of waitlists may vary by course and term.

Adding to a Waitlist

If a course is full and a waitlist is available, students may add themselves to the waitlist through the college’s approved registration system (eServices).

Students must meet all published prerequisites and eligibility requirements to be eligible to register for a waitlisted course.

When a student adds themselves to a waitlist, they will get information on what number they are on the waitlist and what email address a notification will be sent to if a spot in the course becomes available.

Notification of Available Seats

When a seat becomes available in a waitlisted course:

  • The next eligible student on the waitlist will receive an automated email notification sent to their email account.
  • The notification will include a specific time frame during which the student must register for the course.

If the student does not register within the designated time frame:

  • The registration opportunity will expire, and
  • The student’s name will be removed from the waitlist.

The automated waitlist process remains active until the start of the academic term.

Waitlists After the Term Begins

Beginning on the first day of the semester, students may no longer add themselves to course waitlists through eServices.

After the term begins, enrollment in a previously full course may only occur due to late openings or, where applicable, instructor permission, and must comply with established add deadlines outlined in ATCC Procedure 3.10.1 – Course Add, Drop, and Withdrawal.

Student Responsibility

Students are responsible for:

  • Monitoring their email accounts, as outlined above, for waitlist notifications
  • Registering within the required time frame if notified of an available seat
  • Understanding that placement on a waitlist does not guarantee enrollment in a course
  • Meeting all course prerequisites and eligibility requirements

Students who do not take action within the designated registration window will forfeit their position on the waitlist.
